Business & Billing
The billing section of your Organization settings lets you configure financial parameters that affect how values are displayed in pipelines and reports.
Currency
Set your organization's default currency. This affects how pipeline item values and deal totals are displayed throughout the platform.
GST number
If your organization charges GST (Goods and Services Tax), enter your GST number here. This is stored for reference and may be included in any future invoicing features.
Location
Your organization's location settings (city, state, country, zip code) are used by:
- Event search — To find events near your location.
- General context for AI features and suggestions.
Update these fields on the main Organization page.
Subscription and payment
Billing is for owners only. The Billing tab of the Organization settings appears only for owners, so only an owner can change the subscription, the card, the overage setting, or cancel. Managers don't see the tab. When a manager invites someone on a paid plan, the invite waits for an owner to approve and pay; see Invite requests.
Credit card surcharge
From November 16, 2026, an invoice paid by credit card carries a 2.4% surcharge, shown as a line of its own on the invoice and the receipt. It covers the fee Stripe, our payment processor, takes for processing the card. Debit and prepaid cards are never surcharged. A credit card is surcharged only when its billing address is in Canada or the US, and never when it is in Quebec, Connecticut, Massachusetts, Maine, Puerto Rico, Colorado, Oklahoma, New York or California, where the law bans surcharges, caps them lower, or wants the advertised price to include them. An organization created before October 16, 2026 never pays it. When it applies to yours, the Billing tab says so under the price.
A trial with no card
An organization created through an event organizer's link that needs no card starts its free trial without a card (see Account Setup). The Billing tab shows the day the trial ends. Until a card is added, Booked55 emails a reminder 7 days and 1 day before that day.
- A card added before the trial ends (Add a card on the Billing tab) keeps everything running. You aren't charged until the trial ends.
- A trial that ends with no card pauses the organization. Nothing is charged and nothing is deleted, and email and calendar connections are not disconnected, but members can't use Booked55 until an owner adds a card on the Billing tab and clicks Resume subscription. Resuming charges the first month and picks everything up again.
- An organization that signed up through an event organizer's link is not locked when its trial ends with no card. It keeps its contacts: the list, each contact's page with editing, notes and deleting, every way to add a contact (scanning cards, scanning a QR code, from your phone, typing one in), and exporting them all as a CSV. Everyone also keeps their profile and their public profile with its QR code and Wallet card. Tasks, pipelines, deals, email, the scoreboards and the AI assistant stop until an owner adds a card and clicks Resume subscription. Nothing is deleted. In the mobile app, Export contacts (CSV) appears at the bottom of the contact list. On the web, the menu is cut down to Contacts, Profile and, for an owner, Billing, a line at the top of each page says the trial has ended, and the organization reads Contacts only in the organization switcher. Importing a spreadsheet and dictating a note are not available until the subscription resumes.
- If that first payment fails, the organization stays paused. Click Resume subscription to try again, or Use a different card first. The 15-day grace period below is for subscriptions that have been paid before.
- A paused subscription can't be canceled, because nothing is being charged. To close the account, delete the organization.
A complimentary account
Booked55 gives an event organizer's team a complimentary account: an ordinary Booked55 organization beside the one for their events, free for a year, with no card. Its Billing tab reads “This is a complimentary Booked55 account. It is free until <date>, and no card is needed.” There is nothing to subscribe to and no card to add.
- Inviting people to it is free, and everyone in it is in the organizer's Events organization too, with the same role. See Your team.
- It gets the plan's free AI and enrichment credits every calendar month. When a month's credits are used up, AI chat on premium models and enrichment pause until the start of the next month.
When there is no active subscription
An organization stops getting automated work when its subscription is canceled, unpaid or paused, when an invoice is overdue, or when a payment is still failing 15 days after the billing period ended. While it has no active subscription, Booked55 does none of the following for it:
- sync members' email or calendars
- send contact reminders, pipeline or coaching reports, or onboarding guide reminders
- generate pipeline or sales-activity tasks, or run pipeline automations
- send the recording bot to meetings or write AI summaries of them
- process incoming integration events or deliver outgoing webhooks
- send campaign or sequence emails
Campaign and sequence emails that were waiting to go out are canceled. Running campaigns are stopped, and sequences are paused, so you can resume them after paying.
Your data is kept. Once the subscription is active again, everything above starts again on its next run.
When a subscription is canceled for good, or the organization is deleted, every member's Gmail, Outlook, Google Calendar and Microsoft Calendar connection is disconnected and Booked55 deletes the access it held. Google access is also revoked at Google. Microsoft doesn't let an app revoke its own access, so remove Booked55 under Microsoft permissions if you want it gone there too. Connected social accounts are also unlinked. After subscribing again, each member reconnects on their Integrations page. A late payment does not disconnect anything.
Parent accounts
A parent account's parent organization is always billed like any standard organization, on its own subscription, whatever pricing the account has. A team organization in a parent account follows the account's pricing: its own standard subscription, invoiced by Booked55 directly, or a custom plan. Account owners never pay for a seat in a team organization. See Parent Accounts & Teams.
