Integrations
Booked55 works with Google Workspace and Microsoft 365 to send email, sync your calendar and add your email signature. You connect them on two tabs of your Profile: Emails and Calendar. Every connection uses the provider's own sign-in, so Booked55 never sees or stores your password.
These are your personal connections. Bringing leads in from a marketing tool such as GoHighLevel is a workspace-level setting instead. See Integrations under Workspace Settings.
Gmail
Connecting Gmail lets you send emails directly from Booked55 — both individual emails from contact profiles and bulk emails via campaigns.
- 1
Open the Emails tab
Open your Profile (Workspace → Profile in the sidebar, or Your Profile in the user menu) and click the Emails tab.
- 2
Click "Link Gmail"
This opens Google’s sign-in and permission page.
- 3
Authorize access
Sign into your Google account (if needed) and allow Booked55 to send emails on your behalf. Booked55 never sees or stores your Google password.
- 4
Check the connection
Back on the Emails tab, Gmail shows a green check and the address you connected. Click Test to send a test email.
Outlook
Connecting Outlook lets you send emails directly from Booked55 using your Outlook or Microsoft 365 account — both individual emails from contact profiles and bulk emails via campaigns.
- 1
Open the Emails tab
Open your Profile and click the Emails tab.
- 2
Click "Link Outlook"
This opens Microsoft’s sign-in and permission page.
- 3
Authorize access
Sign into your Microsoft account and allow Booked55 to send emails on your behalf. Booked55 never sees or stores your Microsoft password.
- 4
Check the connection
Back on the Emails tab, Outlook shows a green check and the address you connected.
Google Calendar
On the Calendar tab, click Link Google and allow access. Booked55 then reads your Google Calendar so your meetings sit alongside your tasks.
Microsoft Calendar
On the Calendar tab, click Link Microsoft, sign in with your Microsoft account and allow access. Booked55 then reads your Outlook calendar so your meetings sit alongside your tasks.
Meeting recording
If Booked55 has turned meeting recording on for your organization and you have linked a calendar, the Calendar tab also shows a Meeting recording row. It says which of your calendar meetings the Booked55 notetaker joins and records. Click Change to pick one of three:
- Don't record — The notetaker joins none of your meetings. The row says Off. This is where everyone starts.
- Only meetings with contacts — The notetaker joins calendar meetings where someone invited is a contact in Booked55.
- Every meeting — The notetaker joins every calendar meeting that has a meeting link and at least one other person invited, whether or not they are a contact.
This is your own setting. Nobody else in your organization can change it, your choice changes nobody else's meetings, and each organization you belong to has its own. Linking a calendar never starts recording by itself: nothing is recorded until you choose. After you save, your upcoming meetings update within a few minutes; choosing Don't record also takes the notetaker off the meetings it was already booked for.
You can still decide one meeting at a time from its task: Record this meeting records it whatever this setting says, and Don't record skips it. See Recording a video call.
Email signature
Below the email provider on the Emails tab is your Email Signature. While its switch is set to Active, the signature is added to every email you send through Booked55 — both individual and campaign emails, whether you use Gmail or Outlook. Set it to Inactive to stop adding it.
Paste your signature straight from Gmail, Outlook or GoHighLevel and its formatting, colors, links and images are kept, or type it and use the Bold, Italic, Underline and Insert Link buttons. Check the Preview underneath, then click Save Signature. Each organization you belong to has its own signature.
Troubleshooting
- Connection expired — OAuth tokens can expire. If email sending fails, disconnect and link your email provider again.
- Calendar not showing — Make sure you linked your calendar on the Calendar tab, not just your email on the Emails tab. Disconnect and link it again if needed.
- Send failures (Gmail) — Check that you haven't exceeded Gmail's daily sending limits (500 for free Gmail, 2,000 for Google Workspace).
- Send failures (Outlook) — Check that you haven't exceeded Microsoft 365's sending limits (10,000 recipients per day for business accounts).
