Basic information

On the Profile tab, click Edit, change what you need, then click Save.

  • Display Name — How your name appears to team members.
  • Email — Your sign-in email. It can't be changed.
  • Phone Number — Your phone number in this organization.
  • Provider — How you sign in: Local (email and password), Google, Microsoft or Apple. It can't be changed.
  • Location — City, State/Province, Country and Zip/Postal Code. Event search looks for events near this location.

Time zone sits under Location and has its own Save button, so you don't need to click Edit first. See Time zone.

Your picture

The circle beside your name at the top of the page is your picture. It is the one your team sees wherever you appear: the people filter, assigned-to columns, notes and tasks. If you sign in with Google it starts as your Google picture; otherwise it is your initials.

To use your own, point at the circle and click the camera. Click Upload from computer and choose any picture, drag it into place and zoom until it is framed the way you want, then click Save picture. Only the part you framed is saved, shrunk to a small file, so a large phone photo is fine. In the mobile app, tap your picture on the Profile screen and choose a photo.

A picture you upload stays yours: signing in with Google again does not replace it. Remove picture appears once you have uploaded one, and goes back to your Google picture, or to your initials if you have none. This picture is separate from the Profile photo on your public profile, which only visitors to that page see.

Time zone

Booked55 shows every date and time in your time zone, wherever you are, and your tasks follow its days: Today on the Daily Tasks page is today in your time zone. Times show the zone's short name, such as 9:00 AM EDT, or its difference from UTC, such as 9:00 PM GMT+8, so you can tell which clock a time is on. A time you type, such as a task's due time, is read in your time zone too.

When you sign up, and when you sign in without a time zone saved, Booked55 saves the time zone your device is set to. It then asks Is this your time zone?, naming the saved zone and, when your device is set to a different one, that zone as well:

  • Yes, that's right — Keeps the saved zone.
  • Change — Shows the list of time zones. Pick yours, then choose Save.

If you close the window without answering, Booked55 asks again later. Once you have answered, it doesn't ask again.

To change your time zone later:

  • Web app — open your Profile, pick a zone under Time zone on the Profile tab, and click Save.
  • Mobile app — open Profile, tap Time zone under Preferences, pick a zone and tap Save.

You can also ask the AI assistant to change it. A zone the assistant saves isn't confirmed, so Booked55 asks Is this your time zone? about it.

System information

The System tab shows read-only details: User ID, Organization ID, Last Login, Last Login IP, Created and Last Updated.

Sharing with event organizers

The Privacy tab appears when you have an event from an organizer's link (see Signing up through an event's link). It lists each of those events with its organizer, a switch for sharing anonymous stats from it with them, and a link to exactly what is shared. Each row says Sharing is on until a date, Sharing is off, or Sharing ended on a date.

  • Turning it off always works, and sharing stops from that moment. That includes an event whose link asked you to share when you joined: you keep your account and the event.
  • Turning it on works until the sharing period ends. After that the switch is gone and the row shows the day sharing ended.
  • Only you can turn it on. A Booked55 administrator viewing your account can turn it off, never on.

If your organization is suspended you can still turn sharing off: the same switches appear below the message that says so (for an owner on the web, on the Billing tab). The mobile app also has them in the Privacy section of your profile. The AI assistant can't change them; it links you to this tab.

Someone else's profile

When you open a teammate's profile from the Users page, you only see their Profile and System tabs, without their phone number or time zone. Owners can also edit a teammate's basic information, and see a Delete button that removes the person from the organization. Removing someone asks you to confirm it's you first.

Leaving or deleting an organization

The Account tab holds the Danger Zone. What you see there depends on your role:

  • Leave Organization — For anyone who isn't an owner, and for an owner when the organization has another owner. Your role is removed and you are signed out. Your contacts, tasks and other data stay with the organization. The seat count goes down from the next renewal, as when someone is removed. An account owner can't leave a team organization of their parent account; the Danger Zone says their owner role there is managed by the parent account. Someone an account owner added to a team of the account, marked Added by the account on that team's Users page, can't leave that team either: an account owner takes them out of it on the account's People page.
  • Delete Organization — For the last owner, who can't leave. It permanently deletes the organization and all its data — contacts, companies, tasks, events, campaigns, templates and pipelines — removes every other team member, and signs everyone out. Owners can also do this from the Organization page's Danger Zone tab. To leave instead, make someone else an owner first. The parent organization of a parent account is the exception: its owners see Request organization deletion instead, and the Booked55 team deletes it.

Both ask you to confirm the action, and then to confirm it's you. Neither can be undone.

Securing your account

The Security tab has two cards. The first is Two-Factor Authentication. The second, under it, is where you change your password and sign out everywhere. It has no heading of its own. Use it when you think someone else has been in your account. Booked55 emails you a “New sign-in detected” notice when someone signs in to your account, with the time in your time zone, the sign-in method, the IP address, the country, the browser and the operating system. If it was you, ignore the email. If it wasn't, click Secure My Account in the email: it opens the Security tab, after you sign in if you are signed out.

  • Password — Shown only if your account has a password. Click Change password, type the new password twice (at least 12 characters) and click Change password, then confirm it's you when Booked55 asks. Booked55 signs you out on every device, including the one you are on, and you sign in with the new password. A password reset link still waiting in your inbox stops working. Booked55 emails your sign-in address “Your password was changed”, with the time, the IP address, the country, the browser and the operating system the change came from. If you didn't change it, click Reset My Password in that email and set a new password from the reset email it sends you, which signs every device out again.
  • Google sign-in, Microsoft sign-in, Apple sign-in — One row for each of these you sign in with. Booked55 never sees that password, so you change it with Google, Microsoft or Apple; the link on the row opens their security page. Then sign out everywhere in Booked55.
  • Sessions — Sign out everywhere ends every session on every device, including the one you are on. You sign in again.

API keys and connected AI apps keep working after either one, and the card links to where you review them. Disconnect an AI app under MCP Connected Apps on the Sessions tab. Owners and managers revoke API keys under Workspace Settings → Advanced → API Keys. To end one session and keep the others, use Active Sessions on the Sessions tab. An API key or a connected AI app can never see your sessions or end them, change your password, or set up or turn off your two-factor authentication: only you can, signed in.

After either one, the sign-in page says what happened: “Your password was changed. Sign in with the new one.” or “You were signed out everywhere. Sign in again.” The Booked55 app on iPhone and Android has the same card on its Profile screen, under the name Secure your account. If you can't sign in at all, use Forgot password on the sign-in page: setting a new password from that email also signs you out everywhere.

Your password and your sessions are yours, not an organization's, so this card stays open when the rest of your profile doesn't. In those cases the same address opens a page called Account security with this card on it:

  • In the account view of a parent account — Open Account security from the menu under your name.
  • In a suspended organization — Click Account security on the “Organization Suspended” message, or in the menu under your name.
  • When your seat or your team's subscription needs a payment method — Click Account security on that message, or in the menu under your name.
  • Before you finish setting up a new account — The “Secure My Account” button in the email opens it; Continue setup takes you back to the setup step.

In the Booked55 app on iPhone and Android, the messages for a suspended organization, an unfinished setup, required two-factor authentication and an unpaid seat each have an Account security button that opens the same card.

When two-factor authentication is required

You must turn on two-factor authentication before you can keep working if you are:

  • An Owner of an organization that has other members.
  • An account owner of a parent account that has at least one team organization. This applies in the account's organizations and on the account pages, even when you are the only member of the organization you are in. On the account pages the message reads “Multi-factor authentication is required for account owners with teams.”
  • A Manager or an Operator. Both roles can see other people's data, so this applies in every organization where you hold one of them. If you are made a Manager or Operator, it applies from your next click.

Until you turn it on, Booked55 takes you to the Security tab of your profile and the rest of the app waits. The Two-Factor Authentication card reads MFA setup required in red, and its Enable MFA button flashes. On the account pages, choose Set up MFA: Booked55 opens one of your organizations and takes you to the Security tab there. You can still switch organizations and log out, but you can't open or change a teammate's profile. Sales reps aren't required to turn it on, though they can.

Turning it on, and signing in with a code

Turning it on is done once. Booked55 opens a window that asks you to Choose how to get your codes. Email is selected when the window opens. Pick one of these and click Continue:

  • Email — Click Email me a code. Booked55 emails a 6-digit code to your account's own email address, which works for 10 minutes. Type it into Booked55.
  • Authenticator app — The most secure of the three, because a code in an app can't be redirected the way a text message or an email can. Google Authenticator and Microsoft Authenticator are both free; Authy, 1Password and others work too. Booked55 shows a QR code. In the authenticator app, tap the plus, choose Scan a QR code and point the phone at the code on your computer. The app then shows a 6-digit code for Booked55, which changes every 30 seconds. Type the code that is showing into Booked55.
  • Text message — Type your mobile number with its country code, for example +1 416 555 0123, and click Text me a code. Booked55 texts a 6-digit code to that number, which works for 10 minutes. Type it into Booked55. Your mobile provider's message and data rates may apply.

Then click Verify & Enable, click Download Backup Codes and keep the file somewhere safe, and click I've Saved My Codes - Complete Setup. Booked55 signs you out. Until your code is accepted, Choose another way takes you back to the choice.

From then on every sign-in asks for a 6-digit code: the one your authenticator app is showing, or one Booked55 texts or emails you as you sign in (Send a new code sends another). That is so on the website and in the Booked55 app on iPhone and Android, whether you sign in with a password, Google, Microsoft or Apple. You scan the QR code only the once. If you can't get a code, because your phone isn't with you or the message hasn't come, click Use a backup code on the screen that asks for the code; each backup code works one time.

To change from one way to another, or to a new mobile number, turn two-factor authentication off on the Security tab and set it up again. Turning it off asks for a current code; if yours are texted or emailed, click Send me a code first.

If you can no longer get a code and have no backup code left, contact support. The Booked55 team can reset two-factor authentication on your account. You then sign in without a code, and Booked55 emails you how to turn it on again.

A short walkthrough of setting up with an authenticator app waits behind the Watch how this works button: under the line that says two-factor authentication is off on the Security tab, and in the window while you set it up. Click it and the walkthrough plays on a loop, with a sound switch that reads each step aloud; Hide the walkthrough puts it away. At sign-in, Where do I find this code?, under the box that asks for your code, plays the signing-in half. The same walkthrough, with every step written out, is on the MFA guide.

Confirming it's you

Removing someone from the organization, leaving an organization and deleting an organization can't be undone, and a new password changes how you sign in, so before each of them Booked55 checks that the person at the keyboard is really you. A Confirm it's you window asks for one of these, in this order:

  • Authenticator code — If you have set up an authenticator app on the Security tab, enter the 6-digit code from the app.
  • Password — If you sign in with an email and password and have no authenticator app set up, enter your password. That includes getting your sign-in codes by text message or by email.
  • Emailed code — If you sign in with Google, Microsoft or Apple and haven't set up an authenticator app, click Email me a code and enter the 6-digit code sent to your account's email address. The code expires after 10 minutes, and you can ask for up to 3 codes in 10 minutes.

Once you have confirmed, the action goes ahead, and Booked55 won't ask again for the next 10 minutes. If you cancel, nothing happens. If the code or password is wrong, the window tells you and you can try again.
