Daily Tasks

Add tasks illustration

Daily Tasks is the page you work your day from. It lives in the sidebar under Overview, at /tasks. Every call, meeting, email, and follow-up is a task here, so you have a clear record of engagement and can measure performance on the Scoreboard.

The task table

Every list on the page is the same table, with the same columns and the same buttons (the Today view below splits your day into several of them). Its columns are:

  • Assigned — The picture of the team member responsible. This column has no heading.
  • Related To — The contact and their company, each linking to its own page, and an arrow that opens the contact's details in the row. A task with no contact shows “Company Task” or “Sales Activity” instead, and a newsletter's task shows the newsletter's name, which opens the newsletter.
  • Type — The task type, as a badge. Click it to change the type in place.
  • Previous — The task's date and time, how many tasks have already been completed for the contact and when the last one was, a note chip when the task has a description, and a pencil to edit the task. A Sales Activity task shows its text in full here instead, with any web address in it as a link, and so does a newsletter's task.
  • Pipeline & Stage — The pipeline and stage the contact is in, with a direct link to the pipeline board.
  • Completed On and Result — Only in the Completed view.
  • Deleted At and Delete Reason — Only in the Deleted view.
  • Actions — The inline buttons described below.
  • Status — The complete button for a task still to be done.

There is no separate Date column — the date and time sit in Previous, beside the task history that tells you what has already been tried.

Read a contact's details from their task's row

Click any empty part of a task's row, or the small arrow beside the contact's name, and the row becomes one card that holds the task and the contact's details. Click the card's top or the arrow again to fold it back. One row is open at a time: opening another folds the first. Clicking the contact's name still opens their page.

The row's own pieces move into the top of the card and stay in their columns: the contact's name, larger, with their company under it, then the type, Previous and the pipeline. What you can do becomes large buttons on the right, each doing what it did in the row: call, text, email, join the meeting or find events, then Reschedule (with Skip under it on a task that can be skipped), a meeting's Delete, and Complete, or Yes and No on a past meeting.

Under that, the card shows only what the contact has, without headings:

  • Across the top — Their email, phone numbers and social media links, with every tag on the right. Click the email to write to them, a phone number to call it, or a social link to open it; point at an email or a number for its copy button. A red Do not call, Do not text or Do not email tag sits beside what the contact asked you not to use, and a number they asked not to be called is not a call link.
  • On the left — Their company (its name, website, phone and email), the events they came from, their product / service type, who referred them and whom they referred. Under those is the relationship goal: what you hope to get out of the relationship. Click it to write or change it right there.
  • On the right — Their two newest notes, each one whole, with who wrote it and when. You can edit or delete your own right there, and when there are more, View all notes opens them all.

The pipeline and stage are not repeated in the card: the row's own Pipeline & Stage column shows them. Everything else about the contact is changed on the contact's page. A task with no contact has nothing to open.

Status and date filters

A status dropdown above the table switches between Active (tasks that still need doing) and Completed (tasks that have been finished). Beside it, a row of date tabs narrows the list by time range: Today, Tomorrow and This Week for active tasks; Today, Yesterday and Last Week for completed ones. Both offer a Custom range that opens a date picker.

These days are the days of your time zone: Today starts at midnight in your time zone, wherever you happen to be.

The active view also shows overdue tasks automatically when viewing “Today” — so you never miss a task that was due earlier but hasn't been completed yet.

Today's tasks, top to bottom

With Active and Today selected, Booked55 lays out your day for you. The heading then counts what is left, for example 30 Daily tasks to go. The count covers every open task due today or earlier and every meeting still waiting for an outcome, across all pages, not just the rows on screen. The mobile app's Today screen shows the same count, written as 30 to go, and the same lists. Its search box sits under the count and finds open tasks due today or earlier by contact name, company name or the task's wording.

  1. What happened at these meetings — did you join them? — every meeting that has ended and is still open, whether it was earlier today or on an earlier day. The newest is first, and each row shows the day of the meeting without its time. The last column, Showed up?, has a Yes and a No button. Either one opens the Complete Task window with that answer already chosen; add a note if you want to, then click Complete Task. In the mobile app this section is headed Yesterday's meetings; open a row there and Yes and No sit where the check button usually is. If the meeting did not happen at all, click Delete beside them instead (see A meeting that did not happen). A meeting stays here until you record what happened or delete it. If you have no such meetings, the table does not appear.
  2. Must reach out — today's meetings come first, in start-time order, whatever pipeline the contact is in. After them come the tasks that make up your daily goal, in this order:
    • contacts in a pipeline whose name contains “Now”;
    • tasks you created yourself;
    • generated tasks that someone has written a note on.
  3. More people to reach out — create more opportunities — everything else due, behind a Show more tasks button: the rest of those priority tasks, then contacts in “Future” and “Referral” pipelines, then the remainder.

Your daily goal is the bigger of 5 and one more than the number of tasks you completed on an average day over the last week. The page shows how many of the goal you have done. Once you reach it, a congratulations card takes the place of “Must reach out”, and any tasks still due, meetings first, move under it.

Meetings are not part of the goal. They always sit at the top, but they never take one of the goal's places, completing one does not count toward it, and they are left out of the average the goal grows from.

Completing a meeting keeps its date. When you record the outcome of yesterday's meeting today, it stays dated yesterday, so the Scoreboard credits the day the meeting happened. Any other task is dated the moment you complete it.

Simplified view

If you prefer one list to the goal, turn on the Simplified view switch in the page header. The switch appears only while the page shows Active tasks for Today, the only list it changes. In the mobile app the switch is in the menu, under Profile and settings, and it is always there; it changes the Today screen. Must reach out and More become a single table with ordinary pagination, in its own order:

  1. today's meetings, earliest first;
  2. tasks you or a teammate created by hand;
  3. every other task (generated follow-ups and sales activities) in your workspace's pipeline order, the order you set by dragging pipelines in Workspace Settings → Pipelines & Stages. Tasks for contacts in no pipeline come last.

Pipeline names play no part here, so a “Now” pipeline leads only if it is first in that order. The tasks made by hand are in pipeline order too. On the web, choosing another sort for the table (due time or name) changes the order inside the last two groups; meetings always come first. The goal counter, its progress bar, the congratulations card and Show more tasks are all hidden. The past-meetings table and the tasks-to-go count stay.

The setting is yours alone and is saved per organization, so it follows you between the web app and the mobile app. Your teammates keep the view they chose.

Automatically generated tasks

Tasks Booked55 generated for you sit in the same table as the ones you created. A generated task is marked with a purple sparkle icon (titled “AI Generated”) in the Previous column. There is no filter that separates them — the icon is how you tell them apart. See Automatic Task Generation.

Pipeline task cadence

Each pipeline stage can be configured with a task cadence that automatically generates recurring tasks for every contact in that stage. This ensures consistent follow-up without any manual scheduling.

How it works:

  • In the stage settings, enable Task Cadence and choose how often tasks should be generated (e.g., every 2 weeks, every 3 days).
  • When a contact enters a stage with a cadence enabled, the first task is created immediately. It is due today, unless a task was already completed with the contact today: then it is due one interval from today, so the contact is not on your list twice in one day.
  • Each next task is counted from the last task completed with the contact — for example, complete a task today in an “every 2 weeks” stage and the next one is due 2 weeks from today. Any completed task counts, whoever completed it: a call, a text, an email, a meeting or a task you created yourself. An email a campaign sent does not count.
  • Cadence tasks are due at 9:00 AM in the assignee's time zone. A first task due today is due right away when the contact enters the stage after 9:00 AM on a working day.
  • Once a day, early in the morning, each open cadence task is checked against the last task completed with its contact. An upcoming task on a day the stage's cadence allows stays where it is. Any other is moved to one, or to today when those days have passed.
  • When you complete a task, the next task in the series is automatically generated.
  • When a meeting is completed with Didn't show up, or another task with No reply, the next task comes after the stage's follow-up days for that case instead of its usual interval, when the stage has set a number for it.
  • If a contact already has an active task for that pipeline item, no duplicate is created.

Available cadence options: daily, weekly, monthly, or yearly, each with a configurable interval (e.g., every 1 week, every 3 days).

Daily limit for cadence tasks

If the cadence gives you more tasks on one day than you can do, set a daily limit. Open your Profile, go to the Schedule tab, type a number from 1 to 500 under Daily limit for cadence tasks and click Save. There is no limit until you set one, and each person sets their own.

When more cadence tasks are due than your limit:

  • The tasks over the limit move to your next working days. Each of those days is filled only up to the limit too.
  • Your pipeline order decides which tasks move first: tasks from the last pipeline move before tasks from the one above it, and tasks from your first pipeline move last.
  • Waiting moves a task up. Every working day a task has waited since it was first due counts, and 5 days of waiting are worth one place in the pipeline order. So a task from a lower pipeline is not postponed forever: after it has waited long enough, it stays and a newer task from a higher pipeline moves instead.
  • Tasks you create yourself, meetings and sales activities are never moved and do not count toward the limit.
  • A cadence task you rescheduled yourself keeps its date and takes one place on that day.

The limit is applied when you save it and then once a day, early in the morning. Tasks that become due during the day, for example when you move many contacts into a stage, are spread the next morning. To remove the limit, clear the field and click Save: the tasks it moved go back to the day they were first due.

Sales activities

In addition to contact-linked tasks, Booked55 includes sales activities — recurring tasks that focus on your sales strategy rather than a specific contact. Owners set them up under Workspace Settings → Advanced → Sales Tasks, and Booked55 creates the tasks for everyone with the Sales Person role. See Sales Activities.

New organizations start with these activities:

  • Market Research — Research target industries, build hit lists, identify trigger events.
  • Event & Networking — Research events, plan networking strategy, pre-book meetings.
  • Brand Visibility — Social media posts, LinkedIn engagement, share insights.
  • Referral Expansion — Client appreciation, handwritten notes, identify centers of influence.
  • Partnership Building — Co-marketing, sponsorships, influencer outreach.
  • Webinar — Host or co-host a webinar.
  • Group Video Calls — Run group video calls for market updates.
  • One-to-Many Outreach — Mass emails, newsletters, event invitations, seminars.

A newsletter's task

On a newsletter's day Booked55 drafts the next issue, and nothing is sent until someone sends it. So the draft comes with a task: a One-to-Many Outreach task, due that day, for the person who made the newsletter, or for the organization's owner once that person has left. Its row names the newsletter and has an Open draft button.

  • Sending or scheduling the issue completes the task. You can also complete it yourself.
  • A newsletter has one open task at a time, and deleting the draft or the newsletter removes it.
  • A newsletter with no subscribers gets no draft, so no task.
  • In the Today view it is ordered with the tasks you created yourself, and it counts toward your daily goal.
  • In the mobile app the row says to open it in your computer's browser, where the issue is sent.

A meeting that did not happen

Completing a meeting says it took place. When it did not, delete it: an open meeting has a Delete button beside Complete, and beside Yes and No in the past-meetings table. The mobile app has the same button on a meeting. The Delete meeting window asks Why didn't this meeting happen? and you choose one answer:

  • I didn't join
  • The meeting was cancelled
  • I wasn't needed
  • Something else — Type what happened.

What happens next:

  • The meeting is removed from your tasks and is not counted on any scoreboard: not as an appointment set, not as an appointment held, and not as an outbound activity.
  • What happened is kept as a note on the contact, one line with the day of the meeting, for example “The meeting on Oct 12 was cancelled.” or “Dana Reyes didn't join the meeting on Oct 12.”
  • The contact gets a follow-up task that opens with the same line, so you can reschedule or find out why. I wasn't needed is the one answer that creates no follow-up.
  • The follow-up is due after the number of days the contact's stage sets in After one of these, follow up in. A typed reason uses the number for a cancelled meeting. With no cadence on the stage, or no pipeline, it is due the next working day.
  • No follow-up is created while the contact has another meeting still to come.

Meetings that come from your connected calendar are handled for you before they start. When an event is cancelled, when you decline it, or when it is gone from your calendar, the task is removed and the contact gets the same note and follow-up. The line says which side it was, with your name in it: “Dana Reyes cancelled the meeting on Oct 12.” for a meeting you organised, “Dana Reyes declined the meeting on Oct 12.”, or, for a meeting someone else organised, “The meeting on Oct 12, organised by [email protected], was cancelled.” When a new meeting with the contact then appears on your calendar, the follow-up is no longer needed: a cadence task moves on to its next cadence date, and any other follow-up is removed.

Quick actions

Each task row has inline buttons that let you act without leaving the page:

  • Call and SMS — For a contact with a phone number, dial or text them straight from the row.
  • Send Email — Opens an email compose modal pre-filled with the contact's details. Completing the email also completes the task.
  • Join Meeting — Opens the meeting link on a task that has one.
  • Open draft — On a newsletter's task: opens the issue that is waiting to be sent.
  • Reschedule Task — The calendar button in the Snooze column moves the task to another date.
  • Skip — Next to the calendar, on a task a pipeline stage's Task Cadence created: moves it to the stage's next cadence date without completing it. Tasks you create yourself have no Skip button.
  • A Meeting has no Reschedule or Skip button, on the web or in the mobile app. A meeting happens at its own time, so record what happened with Complete, or click Delete if it did not happen.
  • Complete — The check button in the Status column marks the task as done. In the past-meetings table this column is Showed up?, with Yes and No buttons instead.
  • Change type — Click the task type badge to switch type (e.g., from “Call” to “Meeting”).
  • Edit — The pencil in the Previous column opens the task's description and date for editing in the row.

Bulk actions

Select multiple tasks using the checkboxes and a selection bar replaces the add button. From it you can:

  • Type — Change the task type on every selected task.
  • Pipeline — Move the selected tasks' contacts to another pipeline or stage.
  • Reschedule — Set a new date across the selection.
  • Completed — Mark all selected tasks as done.
  • Email — Create an email campaign targeting the contacts from your selected tasks.
  • Delete — Remove the selected tasks. You will be asked for a delete reason.

Type, Pipeline, Reschedule and Completed apply to active tasks; Email and Delete are always available.
