Creating Tasks

Logging tasks is how you track every touchpoint with a contact. Consistent task logging feeds into your Scoreboard metrics and gives your team visibility into the full relationship history.

Creating a task for a contact

These tasks are linked to a specific person in your CRM. They track calls, meetings, emails, and other interactions.

  1. 1

    Open the Add Task wizard

From the contact detail page, click "Add Task" in the header. A window titled "Select Task Type" opens.

  2. 2

    Choose the task type

Select from: Call, SMS, Email, Social Media, Meeting, Visit/Drop-in, Lunch, Dinner, or Recreation.

  3. 3

    Add a description

Describe what happened or what needs to happen. Be specific — this is your record of the interaction.

  4. 4

    Set the date

Choose the date and time. A date in the future gives an open task. A date in the past gives a completed task, so you can log something that has already happened. When meeting recording is on for your organization, a Meeting dated in the future also has a "Meeting link (optional)" field for the video-call link.

  5. 5

    Create the task

Click "Create Task". It appears in Daily Tasks, on the contact's Tasks tab, and contributes to Scoreboard metrics. When the wizard was opened by a stage that asks for a meeting, a "Skip" button sits beside it so you can close the wizard without logging anything.

Creating a sales activity

Sales activities are not linked to a specific contact — they focus on your overall sales strategy and daily discipline. These can be assigned to any team member.

  1. 1

    Click "Add Sales Activity"

From the Daily Tasks page, click the button in the top-right corner to open the Sales Activity Creation modal.

  2. 2

    Choose the sales activity type

Select from: Market Research, Event & Networking, Brand Visibility, Referral Expansion, Partnership Building, Webinar, Group Video Calls, or One-to-Many Outreach.

  3. 3

    Add a description

A default description is pre-filled based on the activity type. Edit it to be specific about what you plan to do.

  4. 4

    Assign and schedule

Choose who the task is assigned to and set the date.

  5. 5

    Save

The sales activity appears in Daily Tasks like any other task.

Places you can create tasks

  • Daily Tasks page — The “Add Sales Activity” button for non-contact tasks.
  • Contact detail page — The “Add Task” button in the header for contact-linked tasks.
  • Pipeline stage automation — When a stage has “Ask to log a meeting on entry” enabled, Booked55 asks “When did this meeting happen?” as a contact enters that stage, and you can log it or skip. See Stage Automations.
  • Automatic (pipeline cadence) — When a pipeline stage has Task Cadence enabled, tasks are generated automatically on the configured cadence.

Task types

The wizard offers these nine task types:

  • Call
  • SMS
  • Email
  • Social Media
  • Meeting
  • Visit / Drop-in
  • Lunch
  • Dinner
  • Recreation (golf, cigar, boat, etc.)

Inline actions

From the tasks table, you can take quick actions without opening a separate page:

  • Compose email — For email-type tasks, click the email icon to open a compose modal. Sending the email can automatically complete the task.
  • Call or text — For a call or SMS task on a contact with a phone number, the row shows that number as a button that dials or texts it.
  • Change type inline — Click the task type badge to switch between types (e.g., change a “Call” to a “Meeting”) without opening the edit form.
  • Reschedule — The calendar button in the Snooze column moves the task to another date.
  • Skip — On a task a pipeline stage's Task Cadence created, moves it to the stage's next cadence date without completing it.

Recording a video call

Meeting recording is off for every organization until Booked55 turns it on for yours. Once it is on, each person chooses for themselves which of their calendar meetings the notetaker joins: none, only meetings with a contact invited, or every meeting. That choice is Meeting recording on the Calendar tab of your Profile, and it starts at off (see Meeting recording). Whatever you chose there, a task with a video-call link shows a Meeting bot card with Record this meeting and Don't record, so you can record or skip one meeting at a time. The notetaker joins the call under the name <your organization> Notetaker (recording), powered by Booked55, so everyone on the call can see in the participant list that it records, and it posts a chat message saying the meeting is being recorded and transcribed. Its summary is filed as a note with the Meeting bot badge (see Notes).

Completing and deleting tasks

To complete a task, click the complete action on the row. A completion modal appears with two optional fields:

  • An outcome — For a meeting, “Showed up” or “Didn't show up.” For everything else, “Meaningful conversation,” “Replied, but not meaningful,” or “No reply.” The outcome is a field on the task itself and shows as a badge on it afterwards.
  • A note — What happened, what was said, what follow-up it needs. The note is saved as a note on the task, and because it belongs to this contact it also appears in the Notes card on their contact detail page. You do not have to write it into two places.

Both are optional: you can complete a task with neither. The note keeps its own author and date, so later readers can tell who wrote it and when — and it can be corrected or removed afterwards from the Notes card on the task or on the contact, by whoever wrote it or by an owner or manager. Completing the same task again with new text rewrites the note you typed rather than stacking up copies; a note the meeting notetaker or the email sync wrote is never overwritten, yours is added beside it.

The mobile app asks the same two things one after the other. The outcome comes first, as large buttons — tap one, or tap Skip to leave it unset — and the next screen shows your choice, where you can still change it, with the note field and Complete task. A past meeting you answered Yes or No on opens straight on that second screen.

When you complete a task that was generated by a pipeline stage's Task Cadence, the next task in the series is automatically created based on the configured cadence.

To delete a task, select it in the table and click Delete on the selection bar. You will be asked for a delete reason, and the choices are fixed: Not relevant task, Contacted too many times, Removing contact, Moving to different stage/pipeline, or Other, which lets you type your own. This helps track why tasks are removed rather than completed.
