Automatic Task Generation
Booked55 can create follow-up tasks for your team without anyone scheduling them. A pipeline stage's Task Cadence is the engine: it decides when a task appears, and the tasks it makes are ordinary active tasks in Daily Tasks.
Pipeline task cadence
When a stage has Task Cadence enabled, Booked55 generates recurring tasks for every contact in that stage.
How it works
- Open the stage settings for any pipeline stage and go to the Task Cadence tab.
- Switch on Enable Task Cadence and set the cadence (e.g., every 1 week, every 3 days, every 2 months).
- When a contact enters that stage, the first task is created immediately. It is due today, or one interval from today when a task was already completed with the contact today.
- When you complete the task, the next one is generated at the configured interval from the day you completed it.
Cadence options
- Daily — Generate a task every N days (e.g., every 1 day, every 3 days).
- Weekly — Generate a task every N weeks (e.g., every 1 week, every 2 weeks).
- Monthly — Generate a task every N months.
- Yearly — Generate a task every N years.
The next task date is always counted from the last task completed with the contact, not from a fixed schedule. This means if a task takes longer to complete, the subsequent tasks adjust accordingly. See Daily Tasks → Pipeline task cadence for which tasks count.
Managing generated tasks
Tasks the stage generated appear alongside your manually created ones in Daily Tasks, marked with a purple sparkle icon (titled “AI Generated”). There is no filter that separates them — the icon is how you tell them apart. Their description and date are yours to set: nothing is written for you. Otherwise they behave like any other task:
- Complete — The check button in the Status column. Completing a task the stage generated triggers the next one in the series.
- Edit — The pencil in the Previous column opens the description and date for editing; the task type badge changes the type.
- Reschedule — The calendar button in the Snooze column moves it to another date.
- Skip — The button beside the calendar moves it to the stage's next cadence date, counted from the task's own date (or from today if that date has already passed), then shifted off weekends and days off. The task stays open, and the next one in the series is counted from the day you complete it. It only appears on tasks the stage generated, and the stage must still have Task Cadence turned on.
- Delete — Select the task and use Delete on the selection bar. You will be asked for a delete reason.
Getting more out of it
- Set the cadence by stage — High-priority stages (e.g., “Demo Scheduled”) deserve a shorter interval than a nurture stage.
- Use a Min and Max range on large stages — It spreads the generated tasks across the week instead of stacking them on one day.
- Change the task type when you need to — Click the type badge on the task to switch it to a call, email or meeting before you work it.
- Complete tasks promptly — Completing a task is what generates the next one, so an untouched task stalls the chain.
