AI Assistant

Chat with AI illustration

Booked55 integrates AI throughout the platform — from drafting personalised outreach emails to enriching contact records. You can also connect external AI clients like ChatGPT and Claude through the MCP Server.

The AI assistant chat

Under AI → AI Assistant in the sidebar, you can ask the assistant to look things up, make changes in your CRM, set up workspace settings, or explain how Booked55 works. It only does what your role allows, and anything that deletes, sends, costs money or changes team-wide settings waits for you to click Confirm on a card. See What the AI Assistant Can Do.

In the mobile app, tap Chat in the Work | Chat switch at the top of the screen, and Work to go back to where you were. It is the same assistant with the same chats, so a conversation started on the website carries on in the app. The app can't attach files to a message, and a chart or preview the assistant builds opens only on the website.

The AI notice

The first time you open the assistant, on the website or in the mobile app, it shows a short notice in place of the chat: AI can make mistakes, so check anything important before you rely on it and read every email or message it drafts before it is sent. Press I understand and the chat opens. You are asked once, not once per organization, and Booked55 records the date you accepted.

To read the notice again, or to see the date you accepted it, press the line AI can make mistakes. Verify important information. under the message box. If the wording of the notice ever changes, you are asked to accept the new version the next time you open the assistant.

Memory

The assistant keeps a short list of things it remembers about you, so you don't have to repeat yourself from one chat to the next. Memory is yours, per organization: teammates never see each other's memory, and switching organization switches memory.

What it saves

After a reply, the assistant saves these on its own:

  • Preferences you state — how you like replies, and how you like work done.
  • Facts about your work, role or business that you'd want remembered.
  • Standing instructions — for example “always put event contacts in the Events pipeline”.
  • What is going on with you that later chats should know — a leave, a move, a goal you are working toward.

You can also tell it directly. Say “Remember that …” in the chat and it saves that too. Saying “Forget that …” removes it, and correcting something (“we moved to Toronto”) replaces the old entry.

A short “Remember that” right after you told it something saves what you wrote in the message just before, as long as that message was a few sentences of your own and not a long or pasted one.

It saves only from what you type in the chat yourself. Text it reads elsewhere — a contact's notes, an email, a file you upload, something you paste from someone else — is never saved to memory.

When it saves or removes something, a small Memory updated note under the reply shows exactly what, with a Manage button that opens the list.

What it never saves

  • One-off task details, or anything that only matters today or this week.
  • Things about someone else — a contact, a client, a company or a colleague — unless you ask it to remember them. What a contact likes or wants belongs on their record in the CRM, and the assistant can put it there for you.
  • Data from your CRM records — counts, contacts, deals. Those live in the CRM itself.
  • Passwords, keys, card numbers or other secrets, even if you ask it to. Typing one into the list yourself is refused too.
  • Sensitive personal matters: a crisis you mention, or other people's health, family or money.

Seeing and changing what it remembers

On the web, the Memory button (the brain icon at the top of the AI Assistant page) opens What the assistant remembers: a list of entries, each marked Saved by the assistant or Added by you, with its date. From there you can remove an entry, add one, or Forget everything. In the mobile app, the chat's history drawer has a Memory row that opens the same list.

Memory holds up to 40 entries of up to 300 characters each.

Removing an entry, or forgetting everything, deletes it for good. Your memory in an organization is also deleted when you leave that organization, and with the organization if it is deleted.

How memory is used

Memory changes how the assistant answers and works for you, within Booked55's rules. It can never grant access to anything your role can't do, and nothing in your records is ever treated as an instruction from you.

Built-in AI features

These features are available directly inside the Booked55 dashboard and do not require any external setup.

Email drafting

Generate personalised outreach emails for any contact with one click. The AI uses the contact's profile, company information, and your previous interactions to write relevant, natural-sounding messages. You can adjust tone, length, and intent before sending.

See AI Email Drafting for details.

Contact enrichment

Enrich contact records with publicly available information. The AI can fill in missing fields like job title, company, LinkedIn profile, and location — saving you hours of manual research.

See Contact Enrichment for details.

External AI clients (MCP)

The Booked55 MCP Server lets you use your favourite AI assistant to manage your CRM. Any MCP-compatible client can connect, including:

  • ChatGPT — Turn on Developer mode, then create an MCP app under Plugins with an OAuth client we make for you. See Connect ChatGPT to Booked55.
  • Claude — Add https://mcp.booked55.com as a custom connector with an OAuth client we make for you. See Connect Claude to Booked55.
  • Cursor & other MCP clients — Any tool that supports the Model Context Protocol works.

AI customisation

Workspace admins can write and keep their own AI prompts in Workspace Settings → Advanced → Prompts, so your workspace's own wording is saved in one place. Email drafting and enrichment use their own built-in instructions and are not affected.

Data privacy

Booked55 does not use your CRM data to train AI models. When you use built-in AI features, the data a request needs is sent to the AI provider that powers that feature (such as Anthropic, OpenAI, Google or Perplexity) for that request. When you use external clients via MCP, data flows through the client's own policies.

Your conversations with the AI assistant inside Booked55 are recorded: your messages, its replies, the steps it took and the records it read or changed. So are the inputs and results of the other AI features, such as a drafted email or a meeting summary. A small number of Booked55 staff read these records, and automated checks score them, to find and fix the AI's mistakes. They are kept in PostHog, our analytics provider, and the content is deleted after 30 days.

The content of email you received in a connected mailbox, your calendar events and your social messages is never recorded, and neither is what Booked55 makes from them: the task and summary written for a reply, and the task or meeting made from a calendar event. When the AI reads any of these, only the model, the time and the usage are kept, and once the assistant reads one in a chat, the rest of that chat is kept the same way. The Privacy Policy has the details.
