Pipeline Items

A pipeline item is created whenever a contact is added to a pipeline. It tracks the contact's position, deal value, assignment, and notes within that specific pipeline.

Item fields

FieldDescription
ContactThe person this item represents. Links to the contact detail page.
StageThe current stage within the pipeline.
ValueThe monetary value of this deal. Used for pipeline total calculations.
Assigned userThe team member responsible for this deal.
NotesA dated list of notes about the deal status, next steps, or context — see Notes on a card.

Editing a pipeline item

On the Kanban board, click the pencil on a card (“Edit pipeline item”). Clicking the card itself does nothing — it is for dragging. The pencil opens a window titled Edit Pipeline Item, with the contact's name underneath. In it you can update:

  • Pipeline (required) — Moving the item to another pipeline.
  • Stage (required) — A stage in the chosen pipeline.
  • Assigned To — A dropdown of workspace users.
  • Value — The deal amount.

Its footer has three buttons: Delete Item on the left, then Cancel and Update. Delete Item asks you to confirm, and warns that any pending AI-generated tasks for the contact are cancelled with it.

If the stage you pick marks contacts as clients, the window asks for the deal's Value, Description and optional Product/Service Type before it will save. Notes sit in the same window but are not part of that form — see below.

Notes on a card

A card's notes are a dated list, not one box of text that the next person overwrites. Each note keeps the name of whoever wrote it and its own date, and the list reads newest first.

  • Adding one saves it immediately — type it and click Save note. You do not have to press Update on the item, and closing the window does not lose it.
  • Editing and deleting are limited to the person who wrote the note, plus owners and managers.
  • The notes also show on the contact — a note on a card appears in the Notes card on that contact's detail page, alongside notes from their tasks and deals, and on the contact's company page too.

A card created through the API or by the AI assistant can carry an opening note; it is filed as the card's first note. Everything after that is added to the list rather than replacing what is already there.

Moving items between stages

There are two ways to change an item's stage:

  • Drag and drop — On the Kanban board, drag the card to a new column.
  • Edit Pipeline Item — Open the item from the card's pencil and change the stage from a dropdown.

When an item moves to a new stage, any stage automations for the destination stage will trigger.

Value and forecasting

Setting deal values on pipeline items lets you see:

  • Per-stage totals — The sum of all deal values in each column of the Kanban board.
  • Pipeline total — The overall value of all items in the pipeline, shown at the top of the board.

This gives you a quick revenue forecast based on your current pipeline.
