Kanban Board
The Kanban board is the visual heart of your pipeline. Each stage is a column, and each contact is a card that you can drag between columns as deals progress.
Board layout
Stages are arranged left to right in the order you defined when creating the pipeline. Each column header shows:
- The stage name
- A gear beside the name (“Stage settings”). It opens that stage's settings window on the Basic tab.
- The number of contacts in that stage
- The total deal value for that stage
- A “New task every N weeks” badge, when the stage has Task Cadence switched on. It reads in the stage's own unit — days, weeks, months or years — and shows a range (“New task every 1–3 weeks”) when the stage uses a Min and Max. Click it to open the stage's settings window on the Task Cadence tab.
Everyone in the organization can open a stage's settings from the board. Owners and managers can change them. For everyone else the window is read-only: it shows what the stage does, with every setting locked and Close in place of Save Changes.
At the top of the board, you can see the overall pipeline total — the sum of all deal values across all stages.
Drag and drop
Click and hold any card to drag it to a different stage. When you release the card in a new column, the contact moves to that stage, and the new stage's settings apply to the card from the moment it enters.
Card information
Each card on the board shows:
- Contact name — Click to open the contact detail page.
- An edit pencil (“Edit pipeline item”) — Opens the Edit Pipeline Item window. Clicking the body of the card does nothing; the card is there to be dragged.
- Email and phone — Quick reference for outreach.
- Company — If linked.
- Assigned user — The team member responsible for this deal.
- Value — The deal amount.
- Latest note — The most recent note on the card, trimmed to two lines, with · 3 more beside it when the card has others. Open the card to read the whole list. See Notes on a card.
Search and filter
Use the search bar above the board to find specific contacts by name, email, phone, or company.
The board has no filter dropdown of its own. To narrow it to one person's cards, use the user filter in the top bar, which applies across the app; the board follows whatever it is set to.
Inactivity indicators
A stage can highlight inactive contacts. When a card has not been updated for the number of days set on the stage, it turns red: a light red background with a red left border. This helps you spot stale deals that need attention. Turn it on in Stage Automations.
Adding contacts to the board
Click the “Add Contact” button on the board to search for an existing contact and add them to any stage. You can also add contacts from the Contacts page.
