Creating & Editing Pipelines
Setting up the right pipeline structure is key to a smooth sales process. This guide walks you through creating a pipeline, adding stages, and configuring optional automations.
Creating a new pipeline
- 1
Navigate to pipeline settings
Go to Workspace Settings → Pipelines & Stages and click "Create Pipeline."
- 2
Set pipeline name and description
Type a clear name in the large field at the top (e.g., "Enterprise Sales" or "Event Follow-up"). The smaller field under it is an optional description that helps your team understand what the pipeline is for.
- 3
Create the pipeline
Click "Create Pipeline". Booked55 saves it and opens the pipeline's page, with its name at the top and a Pipeline Stages section underneath.
- 4
Add stages
Click the dashed "Add Stage" card at the end of the row, type the name in the card that appears, and press Enter (or the tick). Each stage is saved as you add it. Add them in the order contacts will move through them, and drag a stage by its header to reorder.
- 5
Set up each stage (optional)
Click the pencil on a stage card to open Edit Stage & Stage Automation. There you can mark contacts as clients, ask for a meeting on entry, highlight inactive cards, generate recurring tasks on a cadence, and move cards on automatically.
Editing an existing pipeline
From Workspace Settings → Pipelines & Stages, click a pipeline's card to open it. You can:
- Rename the pipeline or update its description. The name is the large heading at the top of the page and the description is the smaller line under it. Click either one to change it, then press Enter or click anywhere else to save. Press Esc to leave it as it was. In the description, Shift+Enter starts a new line. There is no Save button, and a pipeline with no description shows “Add a description” in its place.
- Add, remove, or reorder stages.
- Update stage automations.
Designing effective stages
Best practices for stage design:
- Keep it simple — Start with 4-6 stages. You can always add more later.
- Use action-oriented names — “Meeting Booked” is better than “Stage 3.”
- Define clear criteria — Each stage should have a clear entry condition so your team knows when to move a contact forward.
- End with a win and a loss — Include both a “Closed Won” and “Closed Lost” stage to track outcomes.
Deleting a pipeline
From the pipelines list in Workspace Settings, click delete on a pipeline. A confirmation dialog will appear. Deleting a pipeline removes all pipeline items and their history.
