Creating Contacts
How you add a contact depends on how you met them. This page shows the five quick ways, then covers typing one in through the creation wizard, field by field.
Five ways to add a contact
Each walkthrough below shows what to tap or click. “Full story” opens it step by step. The people and companies in them are examples.
Scan a business card
Add from your phone
Scan a QR code
- Scan a business card (phone app) — On the Contacts tab tap the add button, choose Scan cards, then Camera, and take a photo of the card. Booked55 reads it. Pick the event you met at, then add the contact.
- Add from your phone (phone app) — Tap the add button and choose From phone. Tap the person in your phone's contacts, then Add 1 contact. The Add contact form opens with their details filled in: check them, tap Next, then Save contact. If you pick several people, they go to a review list where one button adds them all.
- Scan a QR code (phone app) — Tap the add button and choose Scan QR code. Point the camera at the code on a badge, profile or link page. A Booked55 code brings up the person's card: tap Save only, or Save and share to send them your details too, then add a note or tap Skip. For someone already in your contacts the card says so and adds them to the event you are scanning at instead of saving them again. Any other code opens the Add contact form with the details Booked55 read from it filled in: check them, tap Next, then Save contact.
- Import a spreadsheet (web app) — On the Contacts page click Import with AI. The AI assistant opens with the request already written: attach your file and send. It maps your columns and tells you what it found before anything is imported. A file already in the Booked55 format can go through CSV Import instead.
- Ask Claude or ChatGPT — Connect Booked55 to Claude or ChatGPT once, from its settings. After that, ask it in plain words to add or update a contact, in the middle of any chat.
The first time you add a contact with the form in the phone app, it points out where to put them: Next after a scan, then the Future Opportunity pipeline and its New Relationship stage. Tap anywhere else to put the pointers away and choose for yourself.
When your organization has one pipeline with one stage, the phone app does not ask where a contact goes: a scanned card, a scanned QR code and the Add contact form all put the contact there. An organization made through an event link starts that way, with Networking Events and its New Connections stage. Add a second pipeline or stage and the app asks again.
Using the creation wizard
To type a contact in yourself, use the wizard in the web app. In the phone app the same add button offers Type it in.
- 1
Click "Add New Contact"
From the Contacts page, click the "Add New Contact" button in the top-right corner. This opens the Contact Creation Wizard, which has three steps.
- 2
Step 1 — Basic Info
Fill in the contact's Full Name, which is the one required field. Below it you can add an Email Address, one or more Phone Numbers, who the contact is assigned to, a Referral Source, and the events they belong to.
- 3
Step 2 — Company
Search for the company the contact works at. You can pick one that already exists in Booked55, create one from a web search result, or add a new one by name. Leave it empty if you do not know it yet.
- 4
Step 3 — Business Objectives
Record the Business Rationale, choose the Sales Pipeline (or Business Objective) and the Starting Stage the contact begins on, and set their Client Type if your workspace uses them.
- 5
Click "Complete"
The final button reads "Complete" rather than "Save". "Skip" next to it saves the contact without the current step's details. Either way you land on the contact's detail page, where you can add more information or log a task.

Best practices
- Always add an email — Contacts without email cannot be included in campaigns or receive emails from the platform.
- Link to a company — Linking contacts to companies lets you see all contacts at an organization together.
- Do not skip step 3 — Setting the pipeline and starting stage while you create the contact is what puts them on your Kanban board straight away. See Pipelines.
- Use consistent naming — Capitalize names properly and avoid duplicates to keep your data clean.
