Creating & Editing Templates
Templates ensure consistent, professional emails across your team. Create them once, then reuse them in campaigns and individual emails.
Choosing an editor
When you click Create Template, a dialog gives you three options:
- Drag & Drop Builder — A full-screen visual canvas for designing responsive, multi-column emails with images, buttons, social icons, and more. Best for visually rich, branded templates. See the dedicated guide.
- Basic Text Editor — A rich text editor with formatting toolbar and HTML toggle. Best for simple, text-focused emails. Saves only when you click the button.
- Duplicate Existing — Copy all content from an existing template and start editing from there.
Creating with the Basic Text Editor
- 1
Click "Create Template"
From the Templates page, click the button to open the creation dialog.
- 2
Choose "Basic Text Editor"
Select the Basic Text Editor card. A modal opens with fields for name, subject, and body.
- 3
Set the template name
Give your template a descriptive name (e.g., "Event Follow-Up" or "Initial Outreach"). This is for internal reference only — it will not appear in the email.
- 4
Write the subject line
Enter the email subject. You can use variables here too — for example, "Hi {{contact.first_name}}, great meeting you at {{company.name}}".
- 5
Compose the body
Use the rich text editor to write your email content. Toggle to HTML mode if you need full control over formatting. Insert variables by typing the variable syntax.
- 6
Add attachments (optional)
Attach files that will be included with every email sent using this template. You can add inline images or regular file attachments.
- 7
Click "Create Template"
Click the button in the modal footer to save. The template appears in the list and is available when creating campaigns.
Visual vs. HTML mode
The basic text editor supports two modes:
- Visual (rich text) — A WYSIWYG editor with formatting toolbar. Bold, italic, links, lists, and text alignment are all available.
- HTML — Write raw HTML for precise control. Useful for custom layouts, branded templates, or copying HTML from external email builders.
You can switch between modes while editing. Be aware that switching from HTML to Visual may adjust some formatting.
Email signature preview
If you have an active email signature configured in your profile, it is displayed below the body editor as a read-only preview. The signature is added to outgoing emails automatically by the server — it is shown here for reference only and cannot be edited in the template.
Creating with the Drag & Drop Builder
For visually rich emails with images, buttons, multi-column layouts, and responsive design, use the drag-and-drop builder. See the Drag & Drop Builder guide for the full walkthrough.
Duplicating an existing template
- 1
Click "Create Template"
From the Templates page, click the button to open the creation dialog.
- 2
Choose "Duplicate Existing"
Select the Duplicate Existing card. A search bar appears where you can find templates by name.
- 3
Search and select a template
Type to search. Click on the template you want to duplicate. All content — name, subject, body, design, and attachments — is copied.
- 4
Edit the duplicate
The duplicate opens in its original editor (drag-and-drop builder or basic text editor). The name is set automatically (e.g., "My Template copy"). Make any changes and save.
Using variables
Insert variables by typing the {{variable_name}} syntax. Variables are replaced with real contact and company data when the email is sent. See the full list at Variables Reference.
Example template body:
Hi {{contact.first_name}},
It was great connecting with you at the event. I noticed that {{company.name}} is doing impressive work in your industry.
I would love to schedule a quick call to discuss how Booked55 might help your team.
Best regardsEditing an existing template
From the templates list, click the edit button on any template row. Templates built with the drag-and-drop builder (marked with a Visual badge) open in the full-screen visual builder. Text-based templates open in the standard modal editor.
Deleting templates
Click the delete button and confirm. Deleting a template does not affect campaigns that already used it — those campaigns retain a copy of the content at the time they were created.
