Add tasks illustration

Activities are the daily building blocks of your sales process. Every call, meeting, email, and follow-up should be logged as an activity so you have a clear record of engagement and can measure performance on the Scoreboard.

Activities list

The Activities page shows a table of all tasks and activities in your workspace. The table includes columns for:

  • Contact — The person the activity relates to.
  • Description — What the activity is about.
  • Date — When the activity is scheduled or was completed.
  • Type — The kind of activity (call, meeting, email, etc.).
  • Pipeline & Stage — The pipeline and stage the contact is in, with a direct link to the pipeline board.
  • Assigned — The team member responsible.
  • Status — Active, completed, or deleted.

Status tabs

Toggle between activity views:

  • Active — Tasks that still need to be done. Date tabs: Today, Tomorrow, This Week, Custom.
  • Completed — Tasks that have been finished. Date tabs: Custom, Last Week, Yesterday, Today.
  • Deleted — Tasks that were removed (with delete reason tracked). Date tabs: All, Custom.

The active tab also shows overdue tasks automatically when viewing “Today” — so you never miss a task that was due earlier but hasn't been completed yet.

Date filters

Each status tab shows a relevant set of date filters. Quickly narrow the list by time range:

  • Today, Yesterday, Tomorrow
  • This Week, Last Week
  • Custom date range (opens a date picker)

AI-generated vs. manual tasks

The filter bar lets you toggle between:

  • All — Both AI and manual tasks.
  • AI Generated — Tasks generated automatically based on pipeline stage frequency or AI prompts.
  • Manual — Tasks created by you or your team.

Pipeline activity frequency

Each pipeline stage can be configured with an activity frequency that automatically generates recurring tasks for every contact in that stage. This ensures consistent follow-up without any manual scheduling.

How it works:

  • In the stage settings, enable Activity Frequency and choose how often tasks should be generated (e.g., every 2 weeks, every 3 days).
  • When a contact enters a stage with frequency enabled, the first task is created immediately.
  • Each subsequent task date is calculated relative to the previous one — for example, “every 2 weeks” means the next task will always be exactly 2 weeks after the last generated task.
  • When you complete a task, the next task in the series is automatically generated.
  • If a contact already has an active task for that pipeline item, no duplicate is created.

Available frequency options: daily, weekly, monthly, or yearly, each with a configurable interval (e.g., every 1 week, every 3 days).

Sales activities

In addition to contact-linked tasks, Booked55 includes sales activities — recurring tasks that focus on your sales strategy rather than a specific contact. Click the “Add Sales Activity” button to create one.

Sales activity types include:

  • Market Research — Research target industries, build hit lists, identify trigger events.
  • Event & Networking — Research events, plan networking strategy, pre-book meetings.
  • Brand Visibility — Social media posts, LinkedIn engagement, share insights.
  • Referral Expansion — Client appreciation, handwritten notes, identify centers of influence.
  • Partnership Building — Co-marketing, sponsorships, influencer outreach.
  • Webinar — Host or co-host a webinar.
  • Group Video Calls — Run group video calls for market updates.
  • One-to-Many Outreach — Mass emails, newsletters, event invitations, seminars.

Quick actions

Each task row has inline action buttons that let you act without leaving the page:

  • Email — Opens an email compose modal pre-filled with the contact's details. Completing the email also completes the task.
  • Change type — Quickly change the activity type inline (e.g., switch from “Call” to “Meeting”).
  • Complete — Mark the task as done.
  • Delete — Remove the task with a reason (cancelled, duplicate, not relevant, etc.).

Bulk actions

Select multiple activities using the checkboxes and use the selection bar to:

  • Bulk complete — Mark all selected tasks as done.
  • Bulk delete — Remove selected tasks (you will be asked for a delete reason).
  • Send email campaign — Create an email campaign targeting the contacts from your selected tasks.

Search events with ChatGPT

From the Activities page, you can open the Search Events modal to find networking events tailored to your profile. Select a time period (This Week, This Month, Next 3 Months, or This Year) and Booked55 generates a personalized ChatGPT prompt based on your location and industry preferences. Copy the prompt or open ChatGPT directly.
